Third Space Aesthetics Pty Ltd (ABN 92 697 857 855, “Third Space”, “we”, “us”, “our”) provides skin, aesthetic and wellness services, including S4 prescription treatments administered by qualified healthcare professionals. Because we provide a health service, the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) apply to us regardless of our annual turnover.
This policy explains what personal information we collect, why we collect it, how we use and store it, and how you can access, correct or complain about it. It applies to our website (thirdspaceaesthetics.com.au), our clinic, and every other way we interact with you — phone, email, social media or in person.

The personal information we collect
Depending on how you interact with us, we may collect:
• Identity information — your name, date of birth and, where required for prescription medicines, government-issued identification.
• Contact details — phone number, email address and postal address.
• Health information — medical history, current medications, allergies, previous treatments, consultation notes, treatment records and clinical photographs.
• Booking and membership information — appointment history, membership tier, attendance and cancellation history.
• Payment information — payment method details and transaction history, processed by our payment providers. We do not store full card numbers ourselves.
• Website and marketing information — pages visited, device and browser information, cookies and your marketing preferences.
We only collect health information with your consent, and only where it is reasonably necessary to safely assess, plan and deliver your treatment.
How we collect personal information
We collect personal information directly from you through:
• our website, including enquiry forms and booking links to Dapple
• phone calls, emails and in-person conversations
• consultation and medical history forms, completed in clinic or online
• membership sign-up forms
• Meta (Facebook and Instagram) lead forms and advertising enquiries
• payments made through Stripe or Square
• our clinical software, Juv’ae, where treatment notes and records are kept
Occasionally we may collect information about you from a third party, such as a referring practitioner, but only with your consent or where the law allows it.
Why we collect, hold, use and disclose personal information
We collect and use personal information to:
• assess your suitability for treatment and provide safe, appropriate clinical care
• book, manage and remind you of appointments
• manage your membership, including billing and direct debit
• process payments
• respond to enquiries and communicate with you about your treatment or account
• comply with our legal and professional obligations, including clinical record-keeping requirements
• with your separate consent, send you marketing communications
• improve our website and services, including through website analytics
Who we may share your information with
We may disclose personal information to:
• healthcare practitioners and prescribers involved in your care
• Dapple, our booking platform
• Juv’ae, our clinical record-keeping software
• Stripe and Square, our payment processors
• Meta, where you engage with our advertising or lead forms
• our IT, hosting and website providers, including Squarespace
• regulators, insurers or legal advisers, where required by law or to establish, exercise or defend a legal claim
We do not sell your personal information. We do not use your clinical photographs for marketing or education purposes without your separate, specific consent — see the Clinical photographs section below.
Overseas storage and disclosure
Some platforms we use — including Dapple, Juv’ae, Stripe, Square, Meta and Squarespace — may store or process information on servers located outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle your information consistently with the Australian Privacy Principles, though we cannot always guarantee the specific privacy protections of an overseas jurisdiction. Contact us if you would like more information about where a particular provider stores your information.
Data quality, security, retention and destruction
We take reasonable steps to keep personal information accurate, complete and up to date, and to protect it from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes restricting staff access to clinical records, using secure, password-protected systems, and storing payment details with our PCI-compliant payment providers rather than ourselves.
We retain clinical records for the period required by Queensland health record-keeping law and professional guidelines — currently a minimum of seven years from the date of your last treatment, or until you turn 25 if you were treated as a minor.
Once information is no longer required, we securely destroy or de-identify it.
Access and correction
You can ask us for access to the personal information we hold about you, or ask us to correct it, at any time. We will respond within a reasonable period, generally within 30 days. We may need to verify your identity before providing access, and in limited circumstances permitted by the Privacy Act we may need to withhold some information — for example, where it would unreasonably impact another person’s privacy.

If you have concerns about how we’ve handled your personal information, please contact us first at hello@thirdspaceaesthetics.com so we can try to resolve it directly. If you’re not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Cookies and website tracking
Our website uses cookies and similar technologies — including Meta Pixel and Squarespace’s built-in analytics — to understand how visitors use our site and, where relevant, to deliver advertising through Meta. You can control cookies through your browser settings and through the cookie preference banner on our website.
Clinical photographs
Where we take clinical photographs as part of your treatment, this is separate from your consent to treatment. We ask you to separately confirm whether you are comfortable with those photographs being used for education or marketing purposes, including on social media. You can withdraw this consent at any time by contacting us — this will not affect the clinical record, which we retain as required by law.
Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the date it was last updated shown at the top of this page.
